Estes Park OKs $50,000 more for utility billing software project

From the Estes Park Town Board meeting of

The added authority is already covered by the existing project budget, with about $16,000 for a change order and $34,000 for unforeseen costs. It does not require a new appropriation amendment.

The Estes Park Town Board approved $50,000 in additional spending authority on Oct. 27 for the project to replace the town's 30-year-old utility billing software. The money is already within the existing project budget.

The project will replace the old software with a modern, cloud-based system. A staff member who presented the item said the new system would improve billing efficiency and accuracy, streamline processes and provide an enhanced customer interface.

The project's data-integration consultant indicated it could not complete the remaining work within the required timeframe, the staff member said. BrightPoint agreed to take over through a change order of around $16,000, which the staff member said would avoid delays. The staff member also requested another $34,000 for unforeseen costs going forward.

The $50,000 total would not require an additional amendment to appropriations, the staff member said. The original contract had no contingency built into it, the staff member said.

Mayor Gary Hall said the town would not have to come back to the Town Board within that amount.
